Role Overview:

Operating as Production Secretary, to provide general administrative support to the Production Director and Production office staff.

Key Responsibilities:

Secretarial/Administration Duties

- Perform general secretarial/administrative duties for the Production Department.
- Update weekly the Build Matrix in accordance with the Build Release Requests.
- Update weekly all associated schedules in accordance with the Build Release Requests.
- Import and export ASTA programmes weekly and issue updated programmes to appropriate personnel.
- Update Hyperion in accordance with the build Matrix and Weekly Progress Reports.
- Update the Weekly Progress Reports and issue to appropriate personnel.
- Submit weekly timesheets to Payroll for approval and maintain accurate records of holiday/absence.
- Distribution of CML and COBC Schedules internally and to Solicitors.
- Produce league tables in accordance with monthly targets and statistics.
- Assist with the preparation of the monthly Production & JV Board Packs.
- Prepare and updated SM Bonus Schedules
- Prepare Team Brief Packs and arrange Site Manager Seminars.
- Assist with site set ups.
- Arrange the Induction of new staff to the Production Team.
- Update holiday board when needed and keep associated records.
- Raise purchase orders and approve associated invoices for payment.
- File all correspondence in site files, keeping files up-to-date within a framework system.

Health & Safety

- Maintain red and yellow card register.
- Issue safety alerts to the appropriate personnel when required.
- Generating reports from the Health & Safety Database when required.
- Liaising with HS & S Advisors.

General

- Assist with reception cover when requested.
- Set-up Board Room for meetings when requested.

Experience and Qualifications

- Previous administration experience is essential. This will have ideally been gained in a construction or housebuilding environment.
- Experience and knowledge of Microsoft Office packages is essential.
- Excellent computer skills and knowledge of relevant software including Asta.
- Knowledge of operation of standard office equipment.
- Experience of clerical and administrative procedures and systems such as filing and record keeping.
- Experience of and ability to draft, create and edit documents and reports.
